Setting permissions on folders and contracts

There are two objects in the system you can set permissons on.

  • Folders and
  • Contracts

There are three types of permissions on each object

  • Owner
  • Edit
  • Read

Object Permission Type Description
Folder Read
  • Can list contracts in the folder
  • Can list sub-folders in the folder
  • Can read all contracts in the folder
Folder Edit

... can do all of the above and

  • Can create new folders within the folder
  • Can edit all contracts within the folder and all sub-folders
Folder Owner
  • Can add other users to contracts
  • Can add other users to folders

Contract Read
  • Can read all fields on the contract
  • Can download all files associated with the contract
Contract Edit
  • Can update all fields on the contract
  • Can upload new files on the contract
  • Can delete files on the contract
Contract Owner
  • Can add new users to see the contract

Folder permissions are inherited by the contracts that live within them. So, if you add a user as an editor on a Folder, they will have Edit permissions on the contracts within it.

Assign Permissions on a Folder

  • Click on the three dots beside any folder and click Assign Permissions

  • You should see this screen and you can add the users you like to the right permissions.

  • Click on one of the dropdowns and select the user to add

  • You can add multiple users by typing a piece of their email.

  • Click the Save button near the bottom right of the page

Assign Permissions on a Contract

  • Inside a folder, you can click on the three dots and click Assign Permissions

  • Enter the users for the appropriate permissions on the page that appears.

  • Click Save when you've entered the user permissions

Viewing Permissions on a Contract

  • Click on a contract or Search for a contract that you want to check.

  • Scroll down and on the left hand side you can see the Access panel

  • You will see the users listed by name and email and what category of access they have

  • The inherited label you see here in Blue tells you that the access is set from a folder

  • Here's what we see:
    • We can see Philip Reynolds and Emily Johnson both have edit access on this contract.
    • We can see they have that access because of permissions on a folder that this contract is in, not because of permissions given directly on the contract
    • We can see Michael Martinez in Ops has read access to the contract
    • We can see he has been given that access directly on the contract because there is no inherited label
